Plain-language policy drafted for the MAUA to review. It describes exactly what this website does.

Who we are

The Martial Arts Unlimited Association ("MAUA", "we") runs themaua.com. Questions about your information: use our contact form.

What we collect and why

Messages you send us

When you use the contact form or the Yoshin Warrior form we receive your name, email, your message and anything else you choose to type (topics, phone, background). We use it only to reply. It is emailed to us from our own mail server and a copy is kept on our website server for up to 12 months in case an email goes missing.

Membership

When you join we keep your name, email, a scrambled (hashed) version of your password, your plan, your membership dates and the instructor and school you tell us about. We also keep your rank records, certificates and rank test requests. If you ask us to register a rank you already hold, we keep the photo or PDF of your certificate that you upload, in a private folder only MAUA admins can open; it is deleted if your account is removed, or sooner if you ask us.

Payments

Payments are handled by PayPal. We never see or store your card or bank details. PayPal tells our website the payment amount, date, your PayPal email and name, and a subscription ID so we can switch your access on, renew it or end it. PayPal's own privacy statement applies to what you give PayPal.

Certificate and membership checks

Certificates and membership cards carry a number. Anyone who enters that number on our verify page sees the holder's name, the art and rank (for certificates) or whether the membership is current. Nothing else is shown.

Cookies

Members and site managers get one essential sign-in cookie that keeps them signed in. It is removed when you sign out or close the browser. If you allow analytics (below), Google Analytics sets its own cookies.

Analytics

We use Google Analytics to count visits and see which pages are useful. It records things like the pages you view, how you reached us, your approximate location (country or city) and your device type. It does not tell us who you are. Visitors in Europe and the UK are asked first and nothing loads unless you choose Allow; you can change your choice any time with "Privacy choices" at the bottom of every page. Google Analytics is never loaded in the members area or the site manager.

Server logs and spam protection

Like every website, our host keeps standard server logs (IP address, page, time, browser) for security. To stop spam and password guessing, our forms keep a scrambled (hashed) form of your IP address for up to one hour.

Who we share it with

Nobody, except the services above that make the site work: our hosting company (Two Koi Designs), PayPal for payments, and Google Analytics if you allow it. We never sell your information.

How long we keep it

Messages: up to 12 months. Member records: while you are a member and for up to 3 years after, so we can confirm past ranks and payments; ask us to delete them sooner. Payment records may need to be kept longer for tax purposes.

Your choices

You can ask to see, correct or delete your information through our contact form. We will reply within 30 days. Members can change their details themselves in My MAUA → Account.

Children

Members under 18 should join with a parent or guardian, who manages the account.

Changes

If we change this policy we will update the date at the top of this page.
